Contact directory

What it is

When somebody answers a survey that asks for their name, email address or phone number, those answers are copied into Contacts — a single list of everyone who has ever given you a way to reach them, newest first, with the survey they came from and when.

The point is doing something with them. Every email is a live mailto: link and every number a tel: link, each with a copy button beside it — reaching someone is one click, not a hunt through a response table.

Which questions feed it

Email and Phone questions are captured automatically. You do not have to do anything — surveys you have already published start filling the directory as soon as the next person answers.

Names are never guessed. «Full name», «Project name» and «Name of your school» look identical to the system, so it will not assume. Open the question in the builder and set Contact directory to *Name*.

   In the builder, select a short answer, email or phone question. The Contact directory control appears in its settings.

   Pick what it holds

   Name, Email, Phone — or Don't collect to keep it out. The option marked *default* is what happens if you never touch this.

   The mapping applies to responses given from then on. Answers already collected keep whatever mapping was in force when they arrived.

When a survey asks for the same thing twice, the directory keeps the first answered one in page order — surveys put the respondent's own details first, and a first field left blank doesn't hide an answer typed into the second. The builder points this out on the question when a column is shared.

Finding and exporting

• Search looks across names, emails, phone numbers and survey names at once — so a half-remembered number finds the person just as well as a name does.
• Filter by survey to narrow to one programme's respondents.
• Export follows the filter. Whatever is on screen is what downloads, as CSV or Excel — the Excel file keeps the emails and numbers as clickable links.
• Phone numbers are tidied as they arrive, whatever the country code: +1 555 0100, 001-5550100 and (1) 555 0100 all become one searchable survey.

Editing and removing entries

Members and admins can correct or remove a directory entry from its row — the pen edits, the trashcan deletes. Edited values are cleaned exactly like submitted answers: emails are lowercased and must look like an address, phone numbers keep their digits (and a leading +), and an entry must keep at least a name, an email or a phone number.

Who can see it

Everyone on the team can read the directory. Nothing in it is new: the same names, emails and phone numbers are already visible to anyone who can open a survey's responses, so putting them behind a stricter door here would have guarded a page rather than the data.

Exporting is members and admins only — the same bar the response export sits behind. Reading a screen at a time and leaving with a spreadsheet are different acts, and only the second one puts the details somewhere the workspace can no longer see. Viewers are not shown the export buttons, and the download refuses them even if the link is reached directly. Every export that does happen is written to the activity log with who did it and when.
